How to set up email review in enterprise email
Published: 2018-04-24
Sometimes, when sending emails externally to customers or partners, etc., the emails need to be reviewed by a supervisor before being sent. Previously, they were first sent to the supervisor, and after the supervisor reviewed them, they were sent again to the customer,
This process is too cumbersome.
The new Email Review feature can meet the review requirements while avoiding duplicate sending, greatly improving work efficiency.
Setup process:
1. Log in to the enterprise mail service using the postmaster account, go to "Mail Service Management" -- "Email Review", and click "New Review Rule".

2. You can review the entire mail service, specified departments, or specified members according to actual needs. Here we take a department as an example.
Review emails of the Sales Branch; take the Sales Branch administrator "高阳" as an example of the reviewer.
The figure below shows: when emails sent by anyone in the Sales Branch contain the keyword "contract" (multiple keywords can be set), the system automatically sends them to "高阳" for review,
If there is no review within 2 hours, the email will be automatically sent to the recipient.

3. After successful creation, the created rule will be displayed in the rules, and it can be disabled, modified, or deleted.

4. After a reviewed user sends an email, this small icon will be displayed in Sent, indicating that the email needs review.

5. The reviewer's mailbox will have an additional "Email Review" folder, where emails that need review can be seen.

6. Open the email that needs review, and you can choose "Approve" or "Reject".
After approval, the email will be sent to the recipient's mailbox. After rejection, the email will not be sent to the recipient's mailbox.

7. After the review is rejected, a status prompt "Review Rejected" will appear in the reviewer's mailbox. If approved, it will prompt "Review Approved".

8. The Sent email icon of the reviewed user will change to this, indicating that the review was rejected. If approved, this icon will not appear.
After opening the email, the sending status will also show as "Review Rejected". If the review is approved, the sending status will show as "Sent Successfully".

Q: What should I do if the recipient addresses for Email Review are insufficient?
A: You can add multiple review rules to review more recipient mailboxes.
